Getting Started with Automation:
Where to Begin in Your Business

Automation is not about replacing people.
It is about giving them their time back.

Every business has repetitive tasks that eat time and invite errors. Automation handles the boring, repeatable work so your team can focus on customers and decisions. Here is how to start without trying to do everything at once.

1. Find the time-drains

For a week, note the tasks people do over and over: rekeying invoices, chasing payments, copying data between systems, sending the same emails. These are your candidates.

2. Start with one high-volume, low-judgement task

The best first automation is something frequent and rule-based, like capturing supplier invoices, chasing overdue invoices, or syncing sales into Xero. Leave anything that needs real human judgement until later.

3. Look for native integrations first

Many tools already talk to each other. Xero connects to Dext, Stripe, GoCardless and plenty more. A native link is more reliable than a workaround. Where there is no native link, tools like Zapier can bridge the gap.

4. Know what a good automation looks like

It should be reliable (it just works), visible (you can see when something fails), reversible (drafts for review, not blind auto-posting, at least to begin with) and documented (someone other than the person who built it understands it).

5. Measure it, then build on it

Track the hours saved. Once one automation is bedded in, move to the next. Small wins compound quickly. Common quick wins include receipt capture, automated invoice reminders, bank feed rules in Xero, e-commerce sales syncing to Xero, and standard email and proposal templates.
